Royalty Reporting and Systems Coordinator

Job Description:

This is a full time position located in the Licensing Department with working hours Monday through Friday 9:00 a.m. until 5:00 p.m. to include weekends, holidays, evenings and overtime as required. Benefits will be offered after successful completion of a three (3) month introductory period. This is a promotional opportunity and is an internal/external recruitment.

RESPONSIBILITIES: Under the supervision of the Director of International Licensing, maintain control of all licensing activities related to Contract Management and the Licensing Royalty activities. Work closely with Accounting Director and IT Director to maintain appropriate compliance within the department.
This includes:
•Collaborate with account managers on negotiating agreement terms to ensure parameters are enforced. Provide input where valuable on appropriate language and terms for accounting compliance. Provide input on past history practices for consideration when discussing contract requirement with potential licensees.
•Provide internal communications with brand managers regarding the status of various licenses, compliance etc.
•Liaise with Licensees, artwork staff and managers to resolve product approval issues related to royalty reporting. Provide reports to staff on SKU approval statuses to ensure timely compliances with approval procedures
•Validate data that is entered into the system by administrative support staff.
•Track contracts/amendments out report and issue reports to staff.
•Develop and organize training for Staff and Licensees as system is upgraded and improved.
•Review licensees’ royalty information completeness, accuracy and contract requirements. Enter, track and maintain license royalty reports in system. Enter and track licensee guarantee and overage payments; track past due payment; notify licensees of past due amounts.
•Generate timely tracking reports to ensure and maintain control of EPE licensee base to include royalty payments, guarantee tracking, expiration dates.
•Develop and publish reports set to be used for viewing data for specifics such as foreign tax credits, and territory sales for trademark registration, product sales in territories, guarantee tracking, licensing obligations, sales and royalty histories, and other to provide necessary tools to manager to focus on and increase business opportunities.
•Assist the Director and Vice President with royalty related budget analysis.

REQUIRED SKILLS KNOWLEDGE AND ABILITIES: Exceptional organizational skills, communication and interpersonal skills with a demonstrated ability to work well in cross-functional teams. Ability to manage multiple projects in a fast paced, deadline driven environment; demonstrated knowledge of accounting; ability to facilitate strong partnerships with outside companies and vendors; good planning skills; analytical skills to evaluate given information to research additional information and to evaluate and compile the information so a situation is clearly defined and a conclusion can be drawn; proficient in MS Word, Excel, PowerPoint and Access; knowledge of Licensing Software Systems; knowledge of general office skills; ability to type accurately; skill to maintain accurate records and filing system; excellent attention to detail; ability to perceive and deal with sensitive issues and maintain confidentiality.

REQUIREMENTS: High School and/or college with special training in accounting, licensing, computers and legal contracts.

PHYSICAL REQUIREMENTS: Ability to stoop, reach, walk and stand for long periods of time; ability to lift boxes weighing up to twenty-five (25) pounds; must be able to speak clearly and distinctly.
